RFP Response Studioby Mindshift Dynamics
SAMPLE PROJECT. The city, company and people are fictional. Nothing here is real, and your Forsyth work is kept separate.
For city and county RFPs

Build a response the City can score, from what you can prove.

Load the RFP, answer plain questions, and the Studio reads the requirements, researches your competition, writes your marketing brief, drafts each section, and checks the writing. Anything it cannot support is marked for you to fill in, never guessed.

Let the Studio do the heavy work

It works through the steps for you and stops where it needs you. It never overwrites your edits and never invents facts.

Part 1 reads the RFP, builds the questions this RFP asks (most points first), and suggests answers from your own documents. You then review and accept them.
Part 2 researches the competition, writes the marketing brief, then drafts and reviews every section.

Your six steps

    Unlock the writing tools

Enter the access code you were given. Reading the RFP, competitor research, the marketing brief, drafting and review use it. Your answers and your saved file work without it.

    Step 1

    Load your documents

Add the RFP and anything that came with it: addenda, forms, the Q&A. If you have a draft response, add that too, and mark it as your draft. Add your own evidence as well (resumes, case studies, reference letters, policies, insurance) and mark it as Our proof. The Studio draws your answers and your writing from it. Files stay in your browser until you ask the Studio to read them.

Use this for scanned PDFs that will not read, or anything copied from a web page.

    Read the RFP

The Studio finds the due date, every requirement, the sections you must submit, red flags, and the questions worth asking the City.

    Step 2

    Section

    Check your answers

    Gap list, reasons and risks

Built only from your answers and from public sources that are labeled.

    Gap list

What is missing, and what needs proof before it can go into the response.

    IDSectionWhat is neededType

    Your reasons, in your order

Strengths, weaknesses, opportunities and threats (your inputs)

    Step 3

    Research your competition

The Studio searches public sources for firms that have advised other cities on similar work. It labels each one Confirmed bidder, Likely, or Comparable. Nobody is called a bidder unless a published list says so.

    Step 4

    Your marketing brief

Positioning, win themes, strengths and risks (SWOT), and the ranked reasons the City should choose you. It uses your answers, the RFP, and the competitor research, and the draft sections in step 5 build on it.

    Step 5

    Write the response

One section at a time. Draft it, read it, edit it in the box, then run the review. The review checks grammar, fluidity, clarity and accuracy against your documents and answers.

Markers like [NEEDS INPUT: ...] and [PROOF NEEDED] show where the Studio refused to guess. Each section lists them in yellow under the draft. Fill them in yourself, or answer the question in step 2 and draft again.

Let the Studio do the heavy lifting

Drafts every empty section from the RFP, your answers and your documents, then reviews each one. Sections you have already written are never overwritten. You decide what to keep.

    Step 6

    Check, export and save

    Before you submit

Also confirm against the RFP and any addenda: required forms and signatures, page limits, number of copies, and delivery before the deadline.

      Your response

      Your research and analysis

Each one downloads as a Word file you can open, edit and share.

      Save your progress

One file holds your documents, answers, research, brief and drafts. Save it after each work session and load it to continue, on any device.

      Our promises

      Truthful, accurate, sourced

      1. Nothing is invented. The Studio may use only your documents, your answers, and public sources it names.
      2. Gaps are shown, not filled. Missing facts appear as [NEEDS INPUT]. Claims without proof appear as [PROOF NEEDED]. The export screen counts what is left.
      3. Sources are labeled. Competitor and issuer facts from the web are search excerpts and must be confirmed before you rely on them.
      4. Competitors are described fairly. Firms that won similar work are comparables. They are not called bidders unless the City publishes a bid list.
      5. Every section is checked. The review looks at grammar, fluidity, clarity and accuracy, and marks each claim Supported, Unsupported or Contradicted.
      6. You decide. The Studio offers drafts and options. You edit, approve and submit. It never signs or contacts the City for you.
      7. The RFP wins. If anything here differs from the RFP or an addendum, follow the RFP.
AI writing can still contain mistakes. Read every section yourself before you submit. This is advisory guidance, not legal advice. For contract terms, insurance, public records filings or licensing questions, ask a qualified professional.
